Frequently asked questions
What is Standwyse?
Standwyse is an event compliance and readiness portal. Organisers use it to run a whole show floor — tracking every exhibitor's tasks, documents, and deadlines in one place — and exhibitors use it to see exactly what they need to do and by when.
Who is it for?
Event organisers running exhibitions, trade shows, and expos — and, through them, every company exhibiting at those events. The organiser buys and configures Standwyse; exhibitors are invited in for free as part of the event.
How much does it cost?
£5,000 per event, charged once (prices exclude VAT). There are no per-exhibitor fees, no user seats, and no tiers — every event includes everything, with unlimited exhibitor accounts.
How does the trial work?
Signing up starts a 14-day free trial for your organisation with everything included — no payment details required. When the trial ends, unpaid events become read-only (nothing is deleted) and purchasing an event unlocks it again immediately.
How does the AI document check work?
When a document is uploaded, the AI reads it and extracts the fields named in the organiser's compliance rubric. A deterministic grader then applies the rules to produce a GO / CAUTION / NO-GO verdict. The AI never decides the verdict on its own, which is what makes every decision auditable.
How accurate is the AI review?
Extraction performs strongly on our evaluation set, but we deliberately don't publish an accuracy figure and Standwyse never auto-accepts a document. Verdicts are decision support: a human reviewer stays in the loop, uncertain reads surface as CAUTION rather than passing silently, and every verdict and override lands in an append-only audit log.
Is my data private to my organisation?
Yes. Standwyse is multi-tenant with row-level security enforced at the database: organiser and exhibitor teams only ever reach the information that belongs to their own organisation and accounts. The security page documents the full architecture.
Is exhibitor data used to train AI models?
No. Documents and conversations are processed by our AI providers to deliver the feature you asked for, under agreements that do not permit using your content to train their models.
Who owns the data we put into Standwyse?
You do. Customers retain all rights to the data and documents they upload; Standwyse only processes them to provide the service, and our terms say exactly that.
What does a readiness score mean?
A readiness score is the share of an exhibitor's required work that is complete, from 0% to 100%. On the organiser floor heatmap it sets the colour of the stand: green is on track, amber needs attention, and red is at risk.
How do deadlines and overdue items work?
Each checklist item can carry a due date. Items past their due date are flagged as overdue and rise to the top of the organiser's review queue, which is ordered by risk and how close the deadline is.
What's the difference between an exhibitor account and an exhibitor user?
An exhibitor account is the workspace for one exhibiting company — its checklist, documents, and profile. An exhibitor user is a person invited into that account. One account can have several users, and one of them is the exhibitor admin who manages the team.
Who should exhibitors invite to their workspace?
Anyone who owns part of their readiness work — usually a marketing lead for the profile, an operations lead for documents, and the stand contractor. Organisers can invite their wider ops team as organiser users.
What happens if we ask for a refund?
A refunded event returns to the locked, read-only state — the same state an unpaid event has after the trial. Your data is preserved either way, and the refund is processed by Stripe back to the original payment method.
How do we get help?
Use the contact form at /support or email support@standwyse.com — we respond within 1 business day. Signed-in users also have an in-app help centre, a product tour, and an AI concierge for task-specific questions. Security questionnaires go to security@standwyse.com.
